  • July 31: Advance shipments may begin arriving at the shipping warehouse
  • July 31: Exhibitor Profile Submission Deadline
  • August 13: Discount deadline date for orders received with Payment (GES)
  • August 15: Registration Deadline
  • August 15: Electrical & AV Order Deadline
  • August 29: Shipping & Logistics Deadline
  • August 29: Last Day for Advance Shipment to the shipping warehouse
  • September 4: Move-In (8 am - 12 pm)
  • September 3 - 5: Refer to the Schedule at a Glance for the most up-to-date onsite event details and exhibit hall hours
  • September 5: Move Out (4:30 - 8:30 pm)

Essential Documents & Forms:

  • Exhibitor Management. View the Service Kit by GES to get information on booth furnishing, labor, and EAC (Exhibitor Appointed Contractors) requirements. 
  • Electrical & AV Order Form: Submit your electrical and AV requirements in the Online Portal.
  • Exhibitor Rules & Regulations: Explore the Exhibitor Rules and Regulations to familiarize yourself with the exhibit policies and liabilities. 

Exhibitor Profile & Marketing:

  • Exhibitor Profile Submission: Create or update your company profile for the event website and app by completing the Information Submission Form.
  • Social Media Hashtag: #NAPFA2025 - Use the official conference hashtag to promote your participation.
  • Logo & Branding Guidelines:  Ensure your branding is consistent with the event standards listed in the Logo and Branding Guidelines.

Exhibitor Registration

Complete registration for your representatives who will be onsite, manning your booth. You are only able to register the number of representatives that are listed in your exhibitor agreement.

Here is what is included in the Standard Booth - Booth Size: 8' x 10'

  • 3' High White Sidewalls
  • 1 - 6' Blue Skirted Table

  • 1 – Wastebasket
  • 1 - Booth ID Sign

Please Note: The Facility is Carpeted.

We have partnered with GES for exhibitor management. View the Service Kit by GES to get information on booth furnishing, labor, and EAC (Exhibitor Appointed Contractors) requirements. 

Shipping & Logistics:

All exhibit materials must be sent in advance to the GES warehouse. Direct to exhibit site shipments will not be accepted at the facility. The facility does not have the capabilities to receive nor does it have adequate storage space for Exhibitor materials. Any materials shipped to the facility will be consigned to GES and the exhibiting company will be billed the appropriate material handling charges by GES.

Advanced Shipment to Warehouse is available. Shipping address and labels are listed in the Service Kit by GES.

Shipments should arrive on or between business days:

July 31 – August 29, 2025

Warehouse receiving hours are:

Monday - Friday, 8:00 AM to 2:30 PM; Closed 11:00 AM to 12:00 PM & Holidays.

Please refer to the GES Warehouse Closure Calendar for official closure dates.

Please remember: Direct to show site shipments will not be accepted at the Grand Hyatt Washington.
