Description

The Operations Associate plays a critical role in the back-office functioning of our firm. With responsibility for the day-to-day operational duties of the firm, the Operations Associate helps keep the office running smoothly, and ensures all client paperwork and processing is handled in a timely, accurate, and professional manner. This position plays a key role in how we deliver service to our clients. Salary is commensurate with experience.

Responsibilities & Common Activities

• Responsible for the entire client on-boarding process such as:
  • Prepare, process and ensure new account(s) opening
  • Prepare, process and ensure complete account transfer(s)
  • Organize, scan and maintain all client paperwork
  • Responsible for preparing, submitting and ensuring completion of client service/maintenance requests
  • Responsible for the accuracy and timeliness of work, including office & client related tasks: properly updating related information through the CRM
  • Handles miscellaneous operational activities
  • Develops and maintains written systems of all activities
  • Responsible for document management system
  • Assist with office monthly project meetings
  • Assist with special projects
  • Performs other duties as assigned

Knowledge, Skills, & Abilities

Requires:

• Excellent attitude and an extraordinary client service (internal/external) orientation and/or financial administrative work

• A strong focus on getting the details right

• Excellent organizational and time management skills

• An ability to handle multiple tasks within tight time frames

• Proficiency with Microsoft Office Suite

• Strong analytical and research skills

• Comfortable with conflict resolution, strong sense of responsibility, personal accountability, and clear interpersonal communication skills

• Strong follow through to ensure entire task/process is complete

• Have bachelor’s degree or equivalent work experience, for example, three to five years in financial services, RIA, broker-dealer or banking

• Be punctual, reliable and highly organized

• Following professional dress code

Helpful:

• Experience with CRM (i.e., Junxure, Salesforce, Redtail)

• Experience with documents management systems (i.e., Worldox)

• Experience with portfolio management system (i.e., Orion, Portfolio Center)

• Experience with digital signing process (i.e., LaserApp, Docusign)

• Experience with workflow

• Interest in and knowledge of financial markets and investment securities.

• Interest in technologies, systems, integration
