CLIENT SERVICE SPECIALIST 

This position is in person in our Madison, WI office.

JOB ROLE

The primary responsibility of this position include, but are not limited to, generating and processing to completion day-to-day paperwork, working with the advisors to handle client related issues, maintaining and overseeing the firm’s workflow process, running the regularly scheduled workflow meetings and helping to facilitate client events and client outreach.


Ideal clients would have some paraplanner experience with the ability to data gather and compile financial plans.

RESPONSIBILITIES

-Generate and process client and firm paperwork as it relates to onboarding prospective clients and the ongoing relationship with existing clients

-The expectation is for any new client paperwork to be generated and sent to the prospective client within 24 hours of the advisor initiating the workflow. If this is not possible for whatever reason, the expectation is that this information be communicated to the advisor

-Proactive outreach to clients to schedule review and follow up meetings

-Clear any Not In Good Order (NIGO) issues from our custodians and work with the appropriate advisor to find a viable solution for more complex issues

-Provide proactive and timely communication to each advisor regarding progress on workflows, assigned projects or tasks, client-related issues, etc

-Assist the team in executing client events

-Attend two workflow meetings, one team “marketing” meeting, and other formal meetings in person during the week

-Help maintain our CRM and portfolio management systems as well as the Google Drive system

-Assist in the transition of Wealthbox and Blueleaf to Advyzon and serve as a resource for our advisors in how to standardize and utilize these systems

-Complete necessary training as assigned

-Train other team members on our technology systems and processes where required.

-Other duties as assigned

Candidates must have prior experience in the financial services industry and ideally have some securities licenses, hopefully to include a Series 65 or 66 license. Due to this being a high touch position with clients, we are seeking candidates that have an eye for detail and exceptional organizational skills as well as a friendly demeanor.

Compensation will be competitive within the industry and commensurate with experience and skills. We will also consider candidates that have some experience in a paraplanner role with expanded duties and compensation available.
