Job Overview


The Associate Advisor is a key member of the advising team led by the Senior Financial Planners. This role will assist the Senior Financial Planners in the delivery of holistic financial planning advice to clients. This position is responsible for providing support in the areas of attending and documenting all client meetings, providing direction to clients and staff on their respective follow-up action items, as well as monitoring client tasks and workflows.

The ideal Associate Advisor is someone who can take charge of their responsibilities, is organized, possesses total ownership of their role, has a comfort level with technology, and is client-service-minded. They are proactive, ask questions when needed, and maintain open lines of communication. They strive to be accountable, reliable, and possess a can-do attitude. Our client meetings are educational and informative, and the needs of our clients are varied. Accordingly, opportunities to learn about a broad range of planning topics will be plentiful.


Essential Functions


  • Attend and take detailed notes in all client meetings within the client recommendation form. Following each client meeting, send email summary to the client listing NorthAvenue’s action items and the client’s personal action items. Document NorthAvenue action items in CRM (Redtail) with detailed notes in tasks and workflows for other teammates.
  • Follow up with clients a few weeks after their meeting to update them on NorthAvenue’s progress on action item, and check in with them on their action items.
  • Ensure all client communication (email or phone) is acknowledged within 24 business hours. Respond or determine the best team member to respond to client communications. Document the communications in the CRM, and assign any necessary tasks and workflows to the appropriate team members.
  • Keep the CRM up-to-date with client demographic changes, family, work, and professional relationship information.
  • Be the team member who is the most in-tune with priorities for each client. Monitoring client tasks and workflows of team members to ensure timely completion and that client expectations are met or exceeded.
  • Coordinate with outside professionals, as necessary, to implement client’s plan.
  • Play an important role in our tax preparation workflows by entering client data into our tax software (Drake) and review prepared tax returns prior to presentation.
  • Serve as the lead team member responsible for ongoing maintenance of client portal data that is not directly feeding from our custodians. This includes manual updates and data aggregation in ByAllAccounts (BAA) and eMoney. Review daily BAA email alerts and communicate with portfolio management team (Asset Dedication) and clients to resolve connection issues. Coordinate with clients to obtain statements necessary for Asset Dedication to fix client performance history.
  • Serve as a true team player, willing to help out with ad hoc items in the office.
  • Receive training on areas of responsibility for other team members, in order to step up and help the team when individuals are on vacation or out of the office.

  • Business or Job Specific Knowledge. Familiarity with the financial planning process areas on which we advise clients, such as tax planning, investments, estate planning, insurance, retirement and education planning.

    • Ability to use effective and proactive written and verbal communication, and to seek clarity when necessary to provide thorough and accurate results.
    • Demonstrate professional, ethical, and courteous conduct while working with clients, prospects, Centers of Influence (COIs), teammates and other business professionals.
  • Detail-Oriented/Quality Focus. Ability to work in a manner that places a critical emphasis on the details, with quality assurance, while maintaining the flexibility to manage multiple tasks.
  • Organization and Time-Management Skills. Visibility of priorities, ability to keep track of open tasks and projects, and ability to get items done on time.
  • Leadership Skills. This role will delegate and follow up on tasks assigned to both the Client Service Manager (CSM) and Analyst roles. Ability to effectively lead and be respected by teammates, in order to produce high-quality team results, is key.

 

Requirements


  • Prior experience (2+ years) in the Financial Services industry, preferably with a broker-dealer, a mutual fund company, or registered investment advisor. BS/BA degree from an accredited college or university preferred. Equivalent education or related work experience will be considered, if the candidate is an excellent fit for the position. Equivalent education/experience may include completion of a CFP® board registered education program or paraplanner program.
  • Strong Microsoft Office skills.
  • TD Ameritrade, Redtail CRM, eMoney, Tamarac and ByAllAccounts experience are a plus!

  • Our preference is that the Associate Advisor be able to work in the office, once we are past the COVID-19 pandemic. However, we will strongly consider candidates who are only available to work virtually from their home office, provided that they are the right fit for this position.
