Clerestory Advisors is an established fee-only Financial Planning & Registered Investment Advisory (RIA) firm located in Bloomington, MN. We are seeking a part-time client services specialist to work 20 hours per week. Clerestory Advisors specializes in investment management and financial planning using a customized approach for clients undergoing major life transitions such as retirement, work promotion or divorce. We are currently seeking a dedicated team player who can learn the business from the ground up and is enthusiastic about helping people strive for financial independence. Our client services specialist position’s main focus is supporting our clients’ needs using positive, empathetic listening skills, attention to detail and consistent follow through.

Responsibilities:

  • Communicate professionally and effectively with clients over the phone and by email in order to schedule client meetings, obtain relevant client information and resolve any outstanding issues related to the custodial paperwork process.
  • Work to efficiently complete the new client on-boarding procedure including administrative set up and account opening/transfer paperwork.
  • Work closely with custodian (Schwab) to troubleshoot and ensure timely and accurate processing of investment paperwork.
  • Provide general office support for the business including answering phones, scanning in all client documents, filing hard copies of all documents and office organization.
  • Maintain accuracy, completeness and integrity of client data within our client relationship management system (CRM). Run basic reports as needed. Document new or updates to existing administrative processes in CRM system.
  • Update key data worksheets used by advisors such as approved investment fund metrics and implementing quarterly compliance procedures documentation.
  • Assist advisors in updating basic client information for annual meetings and typing a draft of meeting notes from digital recordings.
  • Assist with light bookkeeping duties through entries in Quickbooks along with running vendor checks.
  • Provide support implementing and planning for client appreciation programs and events.
  • Generate daily reports of securities transactions and cash flow into accounts for reconciliation purposes.
  • Upon direction from advisors, prepare client money movement for distributions, transfers into accounts and rollover processes.
  • Implement quarterly billing and invoice processes using portfolio management software and client portals.

Qualifications:

  • Ability to communicate and work well with others
  • Strong verbal and written skills
  • Ability to identify, meet and follow through with client requests
  • Proficiency with MS Word, Excel and Outlook and comfortable with technology
  • Proficiency with or willingness to learn Quickbooks bookkeeping duties

  • Knowledge of or ability to learn client relationship management (CRM), financial planning and portfolio management software
  • Knowledge of key financial and investment concepts and experience working in an investment firm is helpful but not required
