Operations Manager


Peace of Money, LLC is a boutique, women-owned, fee-only financial planning firm based in Newburyport, Massachusetts. We provide fiduciary financial planning services by the hour and on retainer, and we accept no third party compensation or commissions. We pride ourselves on providing creative and thoughtful financial planning services with a personalized touch to clients of all backgrounds and income levels. The firm specializes in values-based, socially responsible investment advice. The firm is a dynamic company seeking a team member to support our long term growth trajectory.


The Operations Manager is a part-time position. The Operations Manager is a key role for the functioning of the firm and reports to the lead financial advisor. You’ll be working closely with the lead advisor, associate advisors and paraplanners to support the financial planning process - communication with clients, prospects, service providers, and regulators. In addition, the Operations Manager will have ongoing projects and routine responsibilities to keep the firm operationally efficient and compliant.


Responsibilities

  • Provide operational support to lead financial advisor (eg. inbox management, calendar management and scheduling, client tasks, statistics and recordkeeping)
  • Routine general communication with clients and prospects (eg. scheduling inquiries, referral requests, document gathering)
  • Primary manager of client relationship management (CRM) system for all client and household records
  • Manage office functions (eg. maintaining facilities, supplies, mail, etc.)
  • Perform basic bookkeeping tasks
  • Oversee changes and postings to website and social media accounts
  • Manage records, data entry and sets of data
  • Documentation and ongoing creation of standard operating procedures
  • Other responsibilities to be determined in collaboration with the lead advisor

Required Qualifications

  • High school diploma or GED
  • Available 3-5 business days per week, during business hours. Flexible working location, at least 1-2 days per week at the firm’s office in Newburyport, MA. Opportunity to work remotely (strong private internet connection required) after training
  • Confident user of our core technology (G Suite, Microsoft Office, Dropbox) and willingness to learn new software
  • Above average organizational skills and attention to detail
  • Ability and desire to work and solve problems independently
  • Ability and desire to work in a Kaizen workplace committed to continuous improvement
  • Excellent time management and executive functioning
  • Excellent written and verbal communication skills
  • Experience managing confidential customer and client information

Physical Requirements

  • Able to operate a computer keyboard, telephone and other pieces of technology with manual dexterity
  • Able to move in a home office space (office is accessible via 3 steps), including bending, reaching and lifting
  • Able to lift up to 15 lbs, occasionally up to 30 lbs.
  • Able to remain in a stationary position for up to 80% of the time

Preferred Qualifications

  • Bachelor’s degree
  • Experience with our broader technology suite (Airtable, DocuSign, Hello Sign, Morningstar Office, Quickbooks Online, Right Capital, ScheduleOnce, ShareFile, Slack, Smart RIA, Timeular, Venmo, Wealthbox CRM, Windows 10 OS, Zoom)
  • Customer or client service experience
  • Financial services experience

Compensation

  • Part Time, 15-20 hours/week, potential to increase hours as firm operations expand
  • $20-25/hour, commensurate with experience
  • Access to qualified retirement savings plan with employer contribution
