Job Title: Administrative Assistant

Silicon Valley Wealth Advisors is a Financial Advising firm looking to grow our team by adding an Administrative Assistant. We are looking for a new team member that is organized, self-motivated, flexible, detail-oriented and who can anticipate our needs. Ideally, resolving issues before they arise and assist in important tasks so ensure deadline completion. The Administrative Assistant will ensure the highest standard of customer services by performing the following duties:

Major Responsibilities/Activities

• Passion for service with strong client-focus and desire to assist people

• Positive attitude, enthusiasm, professionalism and strong work ethic with high level of integrity and ethics

• Data entry and paperwork preparation for client transactions, including but not limited to: opening new accounts, closing accounts, transferring assets, facilitating deposits, withdrawals, account title changes, address changes, related account information, etc.

• Communicate with custodians (Schwab, TD Ameritrade, CF) regarding client transactions.

• Send requested documentation to clients and affiliated professionals (CPAs, estate planning attorneys) regarding account activity.

• Support office administration

• Assure accurate client information with custodians (i.e., accountable for quality control of work performed by self and other staff members).

• Serve as back up for various housekeeping issues.

• Serve as a technology resource and trainer through thorough understanding of all in-house software (Salesforce, Orion, Schwab, TD Ameritrade, Microsoft and Adobe professional, etc.).

• Help clients navigate our online tools and deliver unparalleled value and outstanding services to our client to build and maintain client loyalty.

• Cross train with other teams to obtain additional skills

Minimum Requirements

• Professional appearance, business etiquette and manners.

• English fluency, strong verbal communication skills.

• Excellent writing skills adequate for internal communications.

• High level of interpersonal skills to handle sensitive and confidential situations; position continually requires demonstrated poise, tact and diplomacy.

• Strong technical skills, including knowledge of Windows (XP), internet searching, database systems (Excel) and email (Outlook)

Essential Physical Functions

• Ability to sit for extended periods of time working on computer.

• Ability to communicate via phone with clients and vendors.

• Compensation: DOE
