POSITION TITLE: Client Service Specialist

SUMMARY:

The Client Service Specialist assists clients and the advisory team with all non-advisory questions and paperwork, such as processing all forms and applications, including for opening accounts, transferring assets, account address changes and other online forms and applications necessary to process clients’ transactions. The Client Service Specialist also maintains the client meeting calendar and works with the advisory team to schedule existing client quarterly and annual reviews and new client on-boarding meetings.

The position requires strong customer relationship skills to handle non-advisory questions and service requests from clients. The position does not require advisory knowledge, but it does require a basic understanding of technical financial planning and investment management processes and procedures, which we will teach you. The Client Service Specialist does not attend advisory meetings but does handle a majority of non-advisory follow-up and administrative work needing completion.

The position offers full benefits including paid time off, holiday pay, participation in medical, dental and vision plans, and participation in 401(k) retirement plan if the Client Service Specialist is a regular, full-time employee. This position is eligible for participation in the firm’s incentive compensation plan. The Client Service Specialist must pass a background investigation and credit check.

DUTIES AND RESPONSIBILITIES:

The essential functions of this position include, but are not limited to the following:

• Process account transactions for clients and advisory team members (e.g., new account opening and asset transfers).

• Expedite completion of account applications and asset transfers with clients and custodians

• Assist clients with account maintenance and service requests (e.g., disbursements, wire transfer, electronic funds transfer, contact information changes, etc.)

• Track client service requests and transactions in progress and runs reports weekly and as needed

• File and archive new account applications and transaction confirmations

• Schedule and organize meetings with clients and advisory team

• Maintain master client meeting calendar

• Request and collect information required in preparation for client meetings

• Generate client reports and upload reports to secure client web portal

• Maintain, update and administer CRM (Salesforce) and server file sharing systems (Sharefile)

• Enter and update client information and tasks in CRM

• Enter prospect information into CRM

• Maintain communication calendar and send client announcements (using Mail Chimp)

• Maintain accuracy and integrity of client electronic and paper files and records

• Assist with scanning, data entry and Internet research tasks

QUALIFICATIONS:

• Bachelor’s degree

• Experience in the banking or finance industries, or work in a professional services office, is helpful but not required

• Must be careful, detail-oriented and organized

• Strong communication skills are essential

• Extensive knowledge of Microsoft Office Suite

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS:

• Indoor office working environment in north San Jose, California

• Periodic handling of lightweight (under 30 pounds) parcels or items

• Occasionally may be asked to work an evening or weekend (for example, to support a client event)

• No travel required

SALARY RANGE:

$41,600 to $49,920 based on experience
