Position Summary
As a Senior Client Service Associate, you will work directly with firm clients to assist with routine service requests and facilitate day-to-day operations of the firm. You will sit in the reception area of our Irvine office and function as the first point of contact with clients, visitors, and callers to provide assistance and direction. The successful candidate will have interpersonal skills to effectively communicate with clients and at minimum of three years of experience in financial services, preferably with a Registered Investment Advisor (RIA).
Essential duties and functions
• Provide administrative and reception duties in a small office setting
• Accurately prepare account application and account maintenance documents
• Monitor and respond to daily custodial alerts
• Record client interactions and corresponding follow up in CRM
• Lead the process for onboarding new clients
• Assist with scheduling and event planning
• Efficiently navigate a variety of software applications including Microsoft 365
• Participate and eventually lead monthly team meetings
• Maintain and utilize CRM and other technology to help streamline firm operations
• Troubleshoot with external partners and providers
• Participate in firm marketing and compliance initiatives as needed
• Abide by all firm and SEC compliance rules
• General office duties

Minimum Qualifications
• Bachelor’s Degree
• At least 3 years of experience in financial services, preferably with an RIA firm
• Adept in Microsoft Office – Word, Excel, PowerPoint, Outlook, Teams
• Desire to work in a fast-paced, dynamic team environment
• Excellent attitude and an extraordinary client service orientation
• Detail-oriented
• Strong interpersonal, verbal, and written communication skills
• Excellent organization and time management skills; ability to handle multiple projects
