Located in the Financial District of San Francisco, in the historic Hunter-Dulin building, we are across the street from BART and easily accessible by MUNI. We are a small team seeking to add an Operations Associate to support the Operations Director. This individual will be primarily involved in operations and client service but will also participate in organization and business development activities, as well as client events.

Job Responsibilities

The Operations Associate will be responsible for a variety of activities encompassing client service, data management and general administrative duties. These may include:

Client Services

• Assist with preparation of client paperwork for custodian (Schwab)

• Execute all aspects of quarterly client mailings

• Manage client gift program

• Prepare internal and client research reports in Morningstar Office

• Schedule client meetings

Data and IT

• Manage client web portal

• Maintain CRM database (Junxure)

• Run reports in portfolio management software (Portfolio Center)

• Coordinate with President regarding fintech opportunities

• Identify and implement IT process improvements

Administrative

• Logistics support for client events

• Social media postings

• Receptionist duties including answering phone, handling all mailings, running errands

• Maintain and order all office supplies, and manage related vendor relationships

• Filing, photocopying, scanning

• Interact with staff in a calm, straightforward and transparent manner

• Schedule and participate in firm-wide community volunteer activities

• Participate in our team work, including attending annual off-site retreat, goal setting (firm and personal), ongoing team Learning Lunches and monthly team meetings as appropriate

• Maintain high ethical standards and integrity at all times

What we seek in a candidate:

• Previous experience in a professional services firm is a plus

• Strong interpersonal and communication skills

• Attention to detail and excellent organizational skills

• Advanced proficiency with Microsoft Office Suite

• Previous experience with WordPress is a plus

• Familiarity with CRM (i.e. Junxure) helpful

• High comfort level with technology and skill troubleshooting IT glitches

• Must be a self-starter, problem-solver and goal-oriented team player

• Self-reflective, with a commitment to continuous learning
